Best practice for a Team (or Venue) to manage their function room seats.

There are various options to the management of seats.

There are many ways to manage large function room seats by a team or Venue. There is no best way as it depends on who those seats are for, whether they are paid or comp, and whether that is consistent for all the seats in a room.

Seats are for general sale.

If the seats are for sale then the sale sets ownership. The Event Hub selling system can be used to update owners OR if the sales are confirmed from another "selling system" Ownership can be added into the grid via an upload or cell by cell.

Remember, Event Hub does not "force selling' by using Event Hub selling - hence -from what system the seats are sold will determine how ownership is updated.

The room should be set up as individual seats.

Seats are complimentary

If seats are complimentary AND where attendance confirmation is required there are 2 options;

Option 1:

Set the Team (or venue) as owner across all the seats. This passes the seats downstream to the VIP system - as "grouped seats". Hence the VIP system can be used to invite (using RSVP) any possible guests to obtain confirmation.

Option 2: Suggested.

Use the sales system and set the product to "zero priced'. The sales system can be used by making the seats complementary. A URL can be created and issued and the checkout is used for guest confirmation, "sales" details are passed to and updates ownership. This is identical to how Staff tickets are sometimes issued.

This may be preferred to option 1 as you can issue one URL to all possible guests. They can request as needed when they would like to go to an event and no Invites per event are required. A pull versus a push system.

A mix of sold and complimentary is possible and allocation is based on ownership and sales group allocation is linked to the Sales product.

The room should be set up as individual seats.

Seats are shared with another third Party, - downstream "in Full"

Sometimes seats are shared again, downstream - perhaps to a sponsor.

For example, the Sydney Swans share a full asset downstream with their Sponsor QBE.

There is no problem with this - however - it is highly recommended to share as a FULL ASSET - this is where the room is set up like a suite or box with the capacity of the room, not 1

Sharing a full asset to one account, "Seat by the Seat" - is not recommended, adds unnecessary, is a more complicated setup, and can put stress on the EH Portal.

The room should be set up as a FULL aggregated asset.
