Contractor Employment Policy

Purpose

Contractor Employment Policy sets the guiding principles for any engagement where support or involvement of Contractors is required to carry out a particular task, assignment, or project.

Scope

This policy applies to all engagements that may require a Contract for any short or long-term work. It includes all scenarios where a Contractor(s) is an individual or an organization.


Terms and Definitions

Contractor:

An individual or organization that is engaged on a short-term basis for a particular task, assignment, or project.

Policy

Request for Proposal (RFP) or Job Post

  1. Contractors should be onboard on basis of some Job Post, Project Requirements, or a Formal Request for Proposal (RFP) or Request for Quote (RFQ).

  2. Any freelancing platform, Website, eTendering Tools, and Social Media can be utilized to post the Requirements.

  3. The Job Post/ RFP should clearly state the engagement requirements, expected tenure, expected deliverables, and budget (if applicable).

Legal Eligibility

  1. The contractor should be legally eligible to work in the region of his engagement.

  2. The contractor should provide all relevant documents to prove his authorization.

Financial Background

  1. In some cases, if the engagement requires extensive investment Event Hub has the right to check if the Contractor has enough financial portfolio that he can run the project smoothly if due to any reasons the payments are delayed.

  2. Financial Background also helps the organization evaluate if the Contractor has done any similar engagement which provides enough confidence to the decision-makers.

Relevant Experience / Projects

  1. As an evaluation process, it should be ensured that the contractors with the most relevant experience, skills, and most optimum pricing should be engaged.

  2. If needed, the Contractor can also be asked to showcase or provide some case studies of previous similar projects. However, the Contractor should be given ample room to respect the Non-Disclosure Agreement (NDA) with previous engagement and he should be able to hide any information that is not to be presented to Event Hub.

  3. In some cases, previous references can also be asked by the Event Hub to validate the experience of previous engagements. Even Hub can ask the Contractor to provide a recommendation letter from any of his previous engagements.

Contract

  1. A formal contract should be signed between both the Employers and Contractors to ensure that both parties are fully aligned and agree to follow the contract terms and conditions.

  2. The contract can be renewed or terminated on basis of agreed terms and conditions within that contract.

Scope of Work and Deliverables

  1. Event Hub should provide with clear Scope of Work (SoW) and also the set of Deliverables that will help decide the expected outcomes.

  2. The financial Proposal should be clearly stating the engagement model as well as the breakdown of respective deliverables with payment terms.

Resource Plan

  1. The contractor should clearly provide the visibility of available resources, timings, and other information related to that engagement.

  2. If the engaged Contractor is an organization, they should provide with enough resources that if any agreed resources go on vacation or are unavailable due to any reason, the Contractor should compensate for that resource by providing his replacement.

  3. During the engagement, any Contractor resource will be managed by the directions of the Event Hub team unless categorically specified in the Contract.

  4. The Communication Plan and Organizational Context of the Project should also be discussed while onboarding the Contractor.

Service Level Agreement (SLA)

  1. Event Hub and Contractor should agree on timelines and deliverables with respective timelines to deliver the results and to provide efficient communication methods.

  2. A proper Escalation Matrix and Service Level Agreement (SLA) Criteria should be agreed upon in order to ensure streamlined execution.

Access to Resources

  1. The contractor should be provided with relevant resources to carry out his agreed responsibilities. This access may include visibility to systems, data, processes, and peoples to help them achieve their results.

  2. Any access-related activities should be performed in line with Access Management Policy.
